Privacy Notice

How Worldwise Kids LLC, doing business as Phi Learning, handles personal information across the public website and member services.

Who we are and what this notice covers

Worldwise Kids LLC, doing business as Phi Learning, provides tutoring, homeschool support, course facilitation, and related educational services in Charlotte, North Carolina. This notice applies to information handled through philearning.us, Phi Learning accounts, and connected member services.

Information we may collect

The information involved depends on the features you use and may include:

  • Contact and account information, such as name, email address, and authentication details.
  • Account role, status, permissions, and guardian-to-student relationships.
  • Enrollment, course, assignment, quiz, submission, grade, feedback, progress, and deadline information.
  • Messages, files, profile content, and other information a user chooses to provide.
  • Administrative records, such as contracts, invoices, and payment status, when those services are used.
  • Technical and security information, including session, device, browser, access, and diagnostic information.

We receive information from users, parents or guardians, authorized staff and facilitators, and the service providers that operate authentication and hosting.

How we use information

  • Provide, personalize, and administer educational and account services.
  • Authenticate users and enforce role-based access.
  • Support communication among authorized families, learners, facilitators, and staff.
  • Maintain service reliability, investigate misuse, and protect users and systems.
  • Maintain business records and meet applicable legal obligations.

Children and family accounts

Phi Learning does not currently authorize the private learning system to collect real student records, student work, or account data from children under 13. Parents, guardians, and staff should not submit child personal information through member services until Phi Learning provides the required direct parent notice and completes an approved verifiable parental-consent process. Disabling child self-registration or student invitations does not by itself authorize collection through an adult or staff account. Before child-data features are enabled, this notice will describe the information collected, its use and disclosure, parent review and deletion rights, retention periods, and the consent method.

We aim to collect only the student information needed to deliver the selected services. Please do not submit sensitive information that Phi Learning has not specifically requested.

Agreements, invoices, media, and events

Some member features keep administrative records in addition to course work. Where those features are used, the information may include:

  • Agreements: the exact document version presented, the responding account, the response, the time of the response, consent to electronic records, and an append-only history.
  • Invoices: line items, totals, due dates, status, notes, and manually recorded payments, refunds, adjustments, and balances.
  • Media: private household, course, staff, and event images or videos with consent status, retention metadata, and moderation evidence.
  • Events: the household response, the number of people attending, an optional note, waitlist position, and attendance.

Phi Learning does not collect or store card numbers, card security codes, bank account credentials, or payment-provider secrets. Online payment processing is not offered through this website. Phi Learning will never ask for those details through the member portal or by email.

These features are prototypes restricted to synthetic records. Private media, agreements, invoices, and event responses are visible only to the exact household or account they belong to and to authorized staff. A private record is never made public by changing a setting; publication requires a separate, explicit action on a separate public record.

When information is shared

Information may be shared only as reasonably needed with:

  • Authorized Phi Learning staff and facilitators who need it for their work.
  • Service providers, including Supabase for database and authentication services and Vercel for application hosting.
  • Government authorities or other parties when required by law or reasonably necessary to protect rights, safety, or service security.
  • A successor organization in a merger, acquisition, financing, or sale, subject to appropriate protections.

Phi Learning does not sell or rent personal information or use it for targeted advertising.

Security and retention

We use reasonable technical and organizational safeguards intended to protect information, including authentication and role-based access. No online service can guarantee absolute security.

Retention periods for member-service records have not yet been approved. For that reason, the private learning system is restricted to synthetic data. Before real student data is collected, Phi Learning will publish record-specific retention and deletion timeframes and verify deletion across active systems, private files, logs, and provider backup cycles. Existing adult account and business records are retained for current service, security, dispute, and legal needs, then deleted or deidentified under the approved schedule.

Phi Learning provides supplemental educational services and supplemental learning records. It is not the family's North Carolina home school or school of record. The home school's chief administrator remains responsible for its official records.

Your choices and requests

Account holders can review certain information through their account and may ask us to correct, access, or delete information. We evaluate requests under applicable law, the rights of other people, and legitimate operational and recordkeeping needs.

An authenticated parent can submit and review a privacy request from Settings. You can also contact us using the email address below if you cannot use the portal. We may need to verify the requester's identity and authority before acting, and private records will not be delivered through ordinary email or text messages.

Changes to this notice

We may update this notice as services or legal requirements change. The date at the top of the page identifies the latest published version. Material changes will be communicated in a reasonable manner.
